Subcontractor Management

How to Manage Subcontractors and Payments with NirmanDesk

03 Apr 2026 · NirmanDesk Admin

Subcontractors are the backbone of most construction projects — masons, electricians, plumbers, fabricators. But managing them without a system leads to missed payments, disputes over work done, and budget overruns that nobody can explain.

NirmanDesk's Subcontractor Management module brings clarity to every contract and every rupee paid.

Add Your Subcontractors

Start by adding your subcontractors to NirmanDesk. Each subcontractor has a name, trade, phone number, and any notes you want to keep. Once added, they are available across all your projects.

Create Work Orders

For every piece of work you assign to a subcontractor, create a Work Order in NirmanDesk. A work order captures:

  • Description of the work
  • Which project it belongs to
  • Contract amount agreed upon
  • Start and end dates

This gives you a clear record of what was agreed, so there are no arguments later about scope or value.

Record Payments

As you make payments against a work order, log them in NirmanDesk. Each payment records:

  • Amount paid
  • Payment date
  • Payment mode (cash, bank transfer, cheque)

NirmanDesk automatically calculates the balance remaining on each work order — the contract amount minus all payments made so far.

Track Outstanding Balances

The subcontractor dashboard shows you at a glance:

  • Total contract value across all work orders
  • Total amount paid
  • Total balance still to be paid

This means you always know how much you owe each subcontractor before you approve the next invoice or release the next payment.

Project-Wise Subcontractor Costs

On every project dashboard, NirmanDesk includes subcontractor costs in the overall budget breakdown alongside labour, materials, and equipment. This gives you a single view of where your project money is going.

Why Subcontractor Tracking Matters

  • Avoid double payments. Every payment is on record — no more paying twice because someone forgot.
  • Resolve disputes instantly. If a subcontractor claims they were not paid, open the record and show them.
  • Accurate project costing. Subcontractor costs are often the largest line item. Tracking them properly is essential.
  • Completion control. NirmanDesk prevents you from marking a project complete if there are outstanding subcontractor balances.

How to Get Started

  1. Go to Subcontractors in the NirmanDesk sidebar
  2. Add your subcontractors with their trade and contact details
  3. Open a subcontractor and create a Work Order for the current project
  4. As payments are made, log them against the work order
  5. Monitor the outstanding balance from the subcontractor dashboard

No more WhatsApp messages trying to reconstruct payment history. No more arguments on site about what was agreed. Everything is in one place.

NirmanDesk is built for construction businesses that want to run tight, professional projects. Subcontractor management is just one of many tools that help you stay in control.
